1. What will you do? (Role Objective)
Support the professor in specific tasks related to projects and commitments. Provide a high level of administrative support by carrying out logistical, operational, and financial actions that ensure optimal service for their needs, with the aim of improving efficiency, facilitating information retrieval, and supplying the required information and/or services for the projects in which the professor is involved.
Provide support to ensure that active projects are executed efficiently, producing high-quality results.
2. How will you do it?
- Operational and administrative management of projects designed by the Faculty of Excellence.
- Plan meetings, conferences, and prepare presentations: organize meetings and videoconferences with relevant areas and/or clients; develop agendas, send invitations, and ensure successful connectivity. Prepare presentations, information, and all necessary documentation for scheduled activities.
- Follow-up on initiatives: track the development of agreements, contracts, memorandums of understanding, etc., with different stakeholders.
- Workshops, conferences, and outreach events: support in event organization, dissemination, preparation of supporting materials, and related logistical tasks.
- Monitor indicators, map impacts, and conduct research on diverse information.
- Support the professor in identifying/mapping relevant individuals, organizations, or entities to build connections, relationships, and synergies.
- Coordinate workflows, ensuring projects progress according to timelines.
- Ensure projects meet objectives and expectations, and adhere to operational and institutional guidelines.
- Provide administrative support related to the role: purchases, budgets, travel, expense reports, institutional tools, etc.
- Collaborate closely with the Teaching Experience Ambassador to resolve, report, follow up, and communicate any related issues and solutions.
- Ensure that any matter or issue is addressed appropriately and in a timely manner.
- Provide technical support for all ongoing and emerging projects, programs, and courses.
3. What are we looking for?
- 3 years of experience in a similar role.
- Project management, organization, logistics, and operation of events/projects. Advanced (100%) English proficiency.
- Excellent knowledge of MS Office, SAP, and invoicing.
- Strong writing skills and effective verbal and written communication abilities.
- Discretion, patience, and organizational skills.
- Bachelor’s degree in Urban Planning, Design, or Architecture.
